Signature Annotation Feature

The Signature Annotation feature helps a User to apply a signature on a document where the document property at Workflow level is set to RequiresSignature = True

Approve & Sign:

The Approve & Sign button is enabled when ApproveEvent properties at Workflow level is set to RequiresSignature = True.

In the case when the RequiresSignature event is set to False, Users will only see the Approve and Reject Button

 

Applying Signature:

When a User is required to apply a signature during a workflow event, then Approve & Sign icon will unfold two different alternatives.

 

A. When no signature is uploaded.

When no signature is uploaded, a User can either upload a signature or create a new signature. To do so, the below Signature Settings window will open allowing User to control their signature settings.

 

Guidelines for adding Signature Annotation:

  1. Signature should be well printed having white or light color background
  2. Signature should be cropped preferably with Ideal size of 300px (width) x 160px (height)

A signature window will pop up when a User selects the option of Approve & Sign. This window will allow a User to manipulate a few settings before applying a signature to the document.

 

When Signature is already added:

In the case where signature is added to the workflow by uploading or creating a new signature, then clicking on Approve & Sign button will open a drop-down menu allowing User to select the signature to apply (In case when multiple signatures are uploaded / created)

Once the signature is selected, a cross-cursor will be displayed on screen to identify the placement of the signature in a selected area.

 

Note: If the RequiresSignature is set to True and the User performs the Approve activity, the below message will pop-up requesting a User to apply signature to the document.

Once the signature is applied, a user will encounter pop-up window to prompt for comment. From this window, User can choose to perform operations as shown in the image below.

Clicking on Cancel Submission & remove My Signature will revert the action to previous state and clicking on Submit button will apply the signature to a document.

 

Note: Once the signature is submitted, it will be applied on the document. If the AutoSave action is disabled, then a User may get a message to confirm applying the signature.

 

Configuration Settings and its implications on Approve & Sign

A certain configuration setting in the PaperSave Options has its own implications on the Approve & Sign activity. Here are few of the Config names and their implication on the activity based on its config value.

 

1. RequiresSignatureOnEveryApproveEventWhereRequiresSignaturePropertyIsTrue

- If the config value is set to True, a validation message will appear that requires user apply signature on every Approve event. In that case a document may carry multiple signatures.

- If the config value is set to False, a pop window will appear to either apply the signature or cancel the action. In this case the document will carry a single signature.

 

2. DisableImprintDateForSignatureAnnotation:

- If this config value is set to false, in that case the Signature Settings window will open with the options of Date Imprinted and Time Imprinted enabled. - If this config value set to false, in that case the Signature Settings window will open with the options of Date disabled.

 

3.DisableImprintTimeForSignatureAnnotation

- If this config value is set to false, in that case the Signature Settings window will open with the options of Time Imprinted enabled.

- If this config value is set to false, in that case the Signature Settings window will open with the options of Date Imprinted and Time Imprinted disabled.

 

4.DisableImprintUsernameForSignatureAnnotation

- If this config value is set to false, in that case the Signature Settings window will open with the options of Time Imprinted enabled.

- If this config value is set to false, in that case the Signature Settings window will open with the options of Time Imprinted enabled.

 

5. Security Rights

- If the RequiresSignature is set to True and the User does not have rights to apply Signature Annotation, then a message window will pop-up stating that a User do not have signature rights as shown below:

- It is possible to assign workflow modification rights to user by letting them apply a signature. The workflow security can be configured from the below mentioned window.

Note: Approve & Sign feature is only applicable for pdf mime type.
